As the platform continues to grow rapidly, we are seeking a highly organized individual to join our IBAT Business and Finance Team as the Finance and Administration Assistant.

Role Overview

As the IBAT Finance and Administration Assistant, you will play a vital role in supporting the financial operations of IBAT. Your primary responsibilities will focus on invoicing and enhancing efficiency projects while also facilitating legal contracting processes between BirdLife International’s legal function and IBAT clients. This position is essential for ensuring smooth financial and administrative operations within the team.

Key Responsibilities

1. Finance Support:

  • Assist with various aspects of financial operations, including:
    • Invoicing and managing debtors and creditors
    • Navigating blue-chip payment portals
    • Conducting financial reporting and budget tracking

2. Legal Assistance:

  • Facilitate the contracting process between BirdLife’s legal function and clients:
    • Ensure swift completion of contracts to enhance customer experience.

3. Administrative Tasks:

  • Support various administrative activities within the IBAT Business and Finance function, including:
    • Production and maintenance of documentation
    • Event coordination
    • Implementation of efficiency projects

Ideal Candidate Profile

To be successful in this role, you should possess the following qualifications and skills:

  • Strong Administrative Skills:
    • Highly organized, able to prioritize tasks, and work under tight deadlines while maintaining meticulous attention to detail.
  • Technical Proficiency:
    • Excellent understanding of Microsoft Office products, particularly advanced Excel skills.
  • Finance Experience:
    • Familiarity with invoicing and financial administrative tasks, along with experience in reporting and project management.
  • Contract Management:
    • Ability to manage contract negotiations effectively, ensuring swift progression to a signable contract.
  • Self-Motivation:
    • Capable of working independently with minimal supervision.
  • Charity/Ngo Experience:
    • Previous experience in a charity or NGO setting would be advantageous.
